Manage your profile

Manage multiple Google Business Profiles

Three restaurants, two managers and no clear owner for review replies. Multiple locations mainly need clear responsibilities. Another dashboard cannot settle those decisions for you.

The short answer

Maintain the correct profile for each real location, give people individual Google Account access and assign responsibility for information and reviews. Business Profile Manager and business groups can help organise multiple profiles.

Map your locations first

Record each location’s profile name, address, profile URL and responsible colleague. Look for duplicates and check that the organisation retains access. A departing manager should not take the only route to a listing with them.

A separate trading name or new service does not automatically justify another profile. The listing needs to represent the real business location. Keep opening hours and contact details specific to each branch.

Give access without sharing passwords

Google distinguishes owners and managers. Choose a role that fits each person’s tasks. You can organise profiles into a business group for coordinated management. Check which locations belong to a group before giving access.

Use individual accounts and remove outdated permissions. A manager for branch A should not automatically control branch B. Record who handles ownership and who provides cover during absences.

Google access and StarMagnet access are separate. In StarMagnet, invite team members and choose which locations they can access. Adding someone to Google does not automatically give them a StarMagnet account.

Keep a shared voice and local accuracy

Agree how to address guests, sign replies and escalate sensitive complaints. Leave room for local details. A reply about a terrace should not mention a different branch or a dish that location does not serve.

A workable process has someone tracking reviews, a local colleague checking facts and an agreed decision-maker for sensitive complaints. Every response should not need the whole management team.

Look beyond the average rating

Check unanswered reviews and recurring complaints by location. A group average can hide a branch that is consistently behind. Use counts and examples to improve the workload rather than turning each star rating into a staff appraisal.

Separate drafting time from publication time. A draft written quickly but waiting a week for approval is still a late response.

When StarMagnet becomes useful

StarMagnet brings connected locations and their reviews together. Each location has its own tone, signature, reply language and publication settings. The reply language is separate from the language you use in the app.

You can check, edit and publish drafts yourself. In Complete, you can also enable automatic publication by star rating, restrict it to reviews without text and choose the delay, publication days and time window. Other reviews remain available as drafts.

Start with one location in Preview, which includes five free draft-reply actions and manual publication. Expand to other locations where the workflow helps. For individual tasks, see the sign-in guide and review response instructions.

Frequently asked questions

Does each location need a separate Google Account?

One account can have access to several profiles. Give colleagues their own account access rather than sharing a password.

Can I paste the same answer under every review?

That can sound impersonal or become inaccurate. Share style guidelines, but respond to the specific review and correct location.

Do I need to connect all locations to StarMagnet at once?

No. Start with one location in Preview and decide how to expand after checking the workflow.
