Reply to Google reviews: steps and examples
A useful reply shows that you have read the review. It does not need to be long, but it should address what the customer actually said. Here are the Google steps and the editorial choices that make the answer better.
Open your Google Business Profile with the correct account. Select Read reviews, choose Reply next to the review, write your response and select Reply to submit it. Check the facts and remove private information first.
Publish a reply in Google
- Find your business on Google using the account that manages its profile.
- Select Read reviews.
- Select Reply next to the relevant review.
- Write your response and read it once as a prospective customer.
- Select Reply to submit it to Google.
Your business must be verified before you can respond. The reply appears on behalf of the business rather than under your personal account name. Google reviews responses before making them public, so a delay does not necessarily mean that something is broken.
Write for the customer and the next reader
Start with the specific point in the review. Praise for the service deserves a different response from a complaint about waiting. ‘Thank you for your valuable feedback’ mainly tells people that you have a stock sentence ready.
Start with what the customer says and add relevant business context. Keep a short positive review response compact. For a complaint, acknowledge the disappointment, reduce the tension and invite the customer to contact you to discuss what happened.
Do not repeat your business name, town and services in every response to insert keywords. The answer needs to make sense to the customer first.
StarMagnet uses the review, business and website context and your chosen tone to prepare draft replies. You can provide extra context for a new version. A short review usually needs one or two substantive sentences; more detailed feedback can receive more attention. The reply ends with the signature configured for that location.
Match the answer to the situation
A reply can do more than say thanks. You can add a relevant invitation, provide useful business context or move a complaint towards direct contact. The examples below show how to match the response to the rating, the review text and what is known about the business.
Read the guides to positive reviews and negative reviews for more detailed advice. For a mainly positive review with a minor reservation, keep the positive experience central. Acknowledge the concern briefly without making it the main story.
The same review. A better reply.

A specific compliment
Lovely dinner. The team helped us find a good alcohol-free drink.
Thank you for your feedback. We always strive for the best service.
We are pleased our team helped you choose an alcohol-free drink.
We would love to welcome you back for another evening!
Team Example Restaurant
The answer connects with the compliment. Relevant business context or an invitation to return can fit when it follows naturally from the review.
A complaint about waiting
We waited forty minutes for our main course. Nobody explained why.
We were very busy. Our team works hard and we do not recognise this.
We are sorry you had such a long wait without an explanation.
We would like to understand what happened. Please contact us so we can discuss it together.
Team Example Restaurant
Acknowledge the complaint and reduce the tension. The invitation to make contact creates space to work out what happened and what would help.
Praise with criticism
Great food and friendly service. It was quite noisy inside.
Thank you for the lovely review. See you soon!
We are pleased you enjoyed the food and service!
We are sorry it was a little noisy. We would love to welcome you back for another evening.

Keep the compliment central, acknowledge the minor concern briefly and stay with the mainly positive experience.
Five stars without text
★★★★★, with no written comments.

We are pleased you loved the steak and the service!
You are very welcome to join us for lunch or dinner again. We are pleased you rated us so positively!

Use the known offering for a relevant invitation without claiming what this customer ate.
Troubleshoot or edit a response
If the button is missing, check the account, management permissions and verification status. Start with our Business Profile sign-in guide. Reviews displayed from other sources may have different response options.
Use Edit below an existing reply, then Update to resubmit it. You can also delete your own response. That does not delete the customer’s review: reporting a review is a separate process.
Make replying a repeatable task
Agree who checks reviews and which complaints need internal discussion. In StarMagnet, you can review draft replies, edit them and publish them yourself.
Preview includes five free draft-reply actions per location. You publish replies yourself; automatic publication is not enabled. In Complete, you can enable automatic publication by star rating and restrict individual selected ratings to reviews without text. Other reviews remain available as drafts.
You also choose the delay, publication days and time window. Until publication, scheduled replies can be checked, edited or stopped. You do not need to publish every response manually when automatic follow-up suits those reviews.
Frequently asked questions
Can I reply without a verified profile?
Google requires a verified Business Profile before you can respond on behalf of the business.
Should I reply to older reviews?
Yes. An older review can still deserve attention. Respond to what was shared at the time and keep the wording timeless. A late-reply apology is not a required opening. Complete can prepare a batch of older unanswered reviews for follow-up using your settings.
Does replying change the star rating?
No. Only the reviewer can change their rating. A reply does not guarantee a better score.
